How to transcribe WhatsApp Business voice messages (2026)

The WhatsApp Business app often has no transcript option. Here's how to turn customer voice notes into text on your computer through WhatsApp Web, plus what to expect on the phone.

Short answer: the most reliable way to transcribe WhatsApp Business voice messages is on a computer. Link the WhatsApp Business app to web.whatsapp.com, the same way personal WhatsApp links (Linked Devices > Link a Device), and add a WhatsApp Web extension that transcribes audio. Kaption's extension for Chrome and Edge, free to install, puts a transcribe button on every voice note, and the text appears inside the chat within seconds.

On the phone it's less predictable. WhatsApp documents voice message transcripts for personal WhatsApp on Android and iPhone, but it publishes no transcription article for the WhatsApp Business app, and many Business users never find the option in their settings.

Does the WhatsApp Business app transcribe voice messages?

Not reliably. In personal WhatsApp, transcripts are turned on under Settings > Chats > Voice Message Transcripts. WhatsApp's Help Center covers that for Android, iPhone and the desktop apps, but says nothing about WhatsApp Business. In practice, plenty of people open the same menu in the Business app and the option isn't there.

If it does appear on your phone, expect the same limits as personal WhatsApp:

  • Android transcribes only English, Portuguese, Spanish and Russian.
  • iPhone covers more languages, but needs iOS 16 or later with Siri turned on.
  • Transcripts are made one message at a time on the phone, which is slow when a customer sends six voice notes in a row.

If the option is missing or the transcript won't load, our guide to WhatsApp voice message transcription not showing goes through the usual causes, and transcript not available in your language covers the language lists in detail.

How to transcribe WhatsApp Business voice notes on a computer

This works the same whether you're on Windows, a Mac or a Chromebook, as long as you use Chrome or Edge.

  1. Open web.whatsapp.com in Chrome or Edge on your computer.
  2. Link your Business account. In the WhatsApp Business app on your phone, go to Linked Devices, tap Link a Device and scan the QR code on screen.
  3. Install Kaption from the Chrome Web Store or Microsoft Edge Add-ons. Installing it is free and needs no card.
  4. Open a chat with a voice note and click the transcribe button next to it. The text appears below the audio, in the language it was recorded in.

The extension acts on the web.whatsapp.com page, not on the account, so it doesn't matter that the signed-in account is WhatsApp Business. Our comparison of WhatsApp Business Chrome extensions explains this in more depth and compares Kaption with other options.

WhatsApp Business can be linked to up to four devices at once, or up to 10 with Meta Verified, so each person handling chats can have their own browser with the extension installed.

What you get beyond the transcript

Transcribing is where the time goes, but customer voice notes usually lead to a next step. The same extension covers the common ones:

  • Summaries of long voice notes and conversations, so you can catch up on a chat before replying. See summarize WhatsApp chats.
  • Live translation when a customer writes in a language you don't read.
  • Reminders on a message, for the callback you promised. They're on every plan, Free included.
  • Scheduled messages for a follow-up at the right hour. See schedule WhatsApp messages.
  • Privacy mode to blur chats and contacts on a shared screen, and a password screen lock.

If you run personal WhatsApp and WhatsApp Business side by side, the Kaption desktop app for Mac and Windows holds several WhatsApp numbers in one app, with the same tools built in.

Free vs paid: what each plan covers

Installing Kaption is free. The Free plan works the same on personal and WhatsApp Business accounts: it transcribes on your device. For daily customer audio, Pro or Business is the realistic choice:

PlanTranscriptionAlso includes
FreeTranscription on your deviceReminders, privacy mode, screen lock, one translation session a week, everything in your first 60 days
Pro (US$11.99 a month)Unlimited Turbo transcription, plus smart transcription that learns names and brandsUnlimited summaries and translation, five scheduled messages a week
Business (US$19.99 a month)Everything in Pro, for 2 WhatsApp numbersUnlimited scheduled messages, call recording and call transcripts

Quarterly and yearly billing are cheaper per month, and in Brazil the plans are charged in reais. The pricing page has every limit.

Smart transcription matters more for businesses than for personal chats: product names, brand names and customer names are exactly the words a standard transcript tends to get wrong.

Customer audio and privacy

Customer voice notes can contain addresses, order details or health information, so it's worth knowing where the audio goes before you pick a tool.

With Kaption, the extension acts only on WhatsApp Web. Your history stays in encrypted storage on your own device, no message content is stored on Kaption's servers, and audio sent for transcription is discarded as soon as the text comes back. For the strictest cases, such as clinics or law firms, the desktop app can transcribe locally on supported hardware, with the cloud fallback turned off.

Whatever you use, ask three questions: does the audio leave your device, what is kept and for how long, and is it used to train models? If the answer isn't in the privacy policy, assume the worst.

Extension or the WhatsApp Business API?

An extension transcribes what's on the agent's screen in WhatsApp Web. It doesn't connect to the official WhatsApp Business API (Cloud API), which is a server-side integration with its own numbers and per-conversation costs. If your team uses the WhatsApp Business app, the extension is the direct route. If your customer messages arrive through a Cloud API platform, transcription has to happen inside that platform.

Frequently asked questions

Can you transcribe voice messages in WhatsApp Business?

On the phone, often not: WhatsApp publishes no transcription article for the Business app and the option is usually missing. On a computer, yes: link WhatsApp Business to web.whatsapp.com and use an extension such as Kaption to transcribe each voice note inside the chat.

Why doesn't WhatsApp Business have the voice message transcripts option?

WhatsApp hasn't said. Its transcription help article covers personal WhatsApp on Android, iPhone and desktop, with nothing equivalent for the Business app. If the option isn't in Settings > Chats on your phone, the computer route works regardless.

Does Kaption work with WhatsApp Business?

Yes, on a computer. Kaption works on web.whatsapp.com, so it works with whichever account is signed in there, personal or Business. It doesn't connect to WhatsApp Business API (Cloud API) numbers.

Is transcribing WhatsApp Business audio free?

You can start for free. Kaption's Free plan transcribes on your device, on WhatsApp Business accounts too; Pro (US$11.99 a month) and Business (US$19.99 a month) add Turbo transcription in the cloud and smart transcription, which learns names and brands.

Which languages can it transcribe?

Kaption transcribes voice notes in the language they were recorded in, including English, Spanish, Portuguese, French, German, Italian and many more. That's the main difference from WhatsApp's own transcripts on Android, which cover only English, Portuguese, Spanish and Russian.

Will the customer know I transcribed their voice message?

No. The transcript shows only on your screen, and nothing is sent to the customer.

Can several team members transcribe on the same Business number?

Yes. WhatsApp Business can be linked to up to four devices at once, or 10 with Meta Verified. Each person installs the extension in their own browser.
