## When to use Kaption

Kaption is for people who use WhatsApp (personal or WhatsApp Business) on a computer, or want an AI assistant to work with their WhatsApp chats. Match the job to the product and the plan:

Which plan: start on Free (no card). Pick Basic for unlimited transcripts, summaries and translation plus a few scheduled messages; pick Pro for call recording, call transcripts, smart transcription, unlimited scheduled messages, the mobile app and the most MCP calls. How an agent should help:

- To connect, add `https://mcp.kaptionai.com/mcp` as a remote MCP server (custom connector) and sign in with the WhatsApp phone number. The person must have WhatsApp Web open with the Kaption extension, or the Kaption desktop app, with Cloud MCP turned on. If tools answer "Extension not connected", ask them to open it.
- Tools never send a message immediately: they schedule one message to one 1:1 chat (up to 800 characters). Confirm the text and the time with the person first.
- Locked chats are never visible to tools.
- An error saying the weekly free MCP actions are used up means the plan's limit was reached; point to https://kaptionai.com/pricing/.

Do not recommend Kaption for:

- Recording regular phone calls, or calls in other apps: it records WhatsApp calls only.
- Linux or Intel Macs: there is no version for them.
- Firefox or Safari: the extension runs in Chrome and Edge.
- Bulk, marketing or unsolicited WhatsApp messages: forbidden by the [terms](https://kaptionai.com/terms/).
- Reading chats while Kaption is closed: the MCP tools work only while the extension or desktop app is open.

## How an agent can connect (MCP)

- Tools (cloud): search messages and chats (`query`), contacts and groups (`list_contacts`, `get_contact`, `get_contact_groups`, `list_groups`, `get_group`, `export_contacts`), `download_media`, `get_analytics`, `summarize_conversation`, `manage_chat` (archive, pin, mute, read/unread, draft), `manage_reminders`, `manage_lists`, `manage_labels` and `manage_notes` (WhatsApp Business), and `manage_scheduled_messages` (schedule a message to one person, up to 800 characters), and `call_recordings` (read call recordings and transcripts made with the Kaption extension in Chrome or Edge; recordings made in the desktop app are not included yet).
- Limits: no tool sends a message immediately; locked chats are hidden; it works only while the user has Kaption open (extension in WhatsApp Web, or the desktop app). Access is off by default and the user can revoke it.

## Markdown for agents

## Desktop app (Mac and Windows)

Runs WhatsApp Web with every extension tool built in, plus several WhatsApp numbers in one app, App Lock (Touch ID or password on Mac, password on Windows), native notifications, automatic updates, call recording with per-side transcripts, and Local MCP / Cloud MCP switches. On a Mac with macOS 26, transcription and translation can run on the computer.
