# 5 WhatsApp CRM Extensions Compared (2026), Plus One That Isn't a CRM

> Cooby, Eazybe, TimelinesAI, WAPlus CRM and Pragmaz compared by price, CRM sync and store ratings, checked Nov 3, 2026. Plus when Kaption fits instead.

*Updated November 7, 2026. Competitors' prices and store figures checked on November 3, 2026; Kaption's prices are its 2027 plans.*

A WhatsApp CRM extension adds a sales layer on top of WhatsApp Web: contact cards, labels, a pipeline, follow-up reminders, and in most cases a sync that copies your chats into HubSpot, Salesforce, Zoho or another CRM. This post compares the five that matter most in 2026, by what they do, what they cost and how their Chrome Web Store listings look today.

At the end we add a sixth tool that is **not** a CRM: Kaption, our own product. Kaption is our product; we list where others are better. In this post, that is most of the list.

## TL;DR: which WhatsApp CRM extension should you pick?

- **Your team lives in HubSpot:** Cooby. Its team plans sync WhatsApp to HubSpot (and Salesforce), with an inbox-zero layer of tabs, snooze and reminders.
- **Several people share WhatsApp numbers and every chat must land in the CRM:** TimelinesAI. It is a shared team inbox with sync to Pipedrive, HubSpot, Zoho, monday.com, Salesforce, Close and more on every plan.
- **You want a free CRM layer to start:** WAPlus CRM. Its lifetime Free plan includes custom tabs, labels, a pipeline and HubSpot, Salesforce and Zoho integrations.
- **You sell in Brazil and want Kanban plus scheduled statuses:** Pragmaz.
- **You work alone and mostly want AI on your own chats, not a CRM:** Kaption. Transcripts, summaries, reminders and translation, free to start. Wrong pick if you need CRM sync or a team inbox.

## How do the WhatsApp CRM extensions compare?

The table compares the five CRM tools and Kaption on the points buyers ask about first. Prices are the entry paid plan as each vendor's pricing page showed it on Nov 3, 2026, before tax. Store figures come from each Chrome Web Store listing on the same date (the store rounds user counts).

## What counts as a WhatsApp CRM extension?

A WhatsApp CRM extension is a browser add-on for WhatsApp Web that organizes chats as sales records: who the contact is, what stage they're at, when to follow up, and, usually, a copy of the conversation in your CRM. The usual pieces are labels or a pipeline, contact cards next to the chat, follow-up reminders, CRM sync and team features such as shared conversations and several numbers.

All five CRM tools below work on top of WhatsApp Web in the browser. Most also add broadcast or campaign sending. Sending in bulk to people who didn't ask is what most often gets a number restricted by WhatsApp.

## Is Cooby the best WhatsApp CRM extension for HubSpot users?

For teams that already work in HubSpot, Cooby is the most direct fit of the five. Its pitch is WhatsApp-to-HubSpot sync with an inbox-zero layer on WhatsApp Web: system tabs like Unread and Need reply, custom tabs, close, snooze and archive.

**What it does well**
- HubSpot or Salesforce sync with CRM contact cards, deals, tasks and tickets, from the CoobyTeams plan up (not on Extension Free or Pro).
- Chat reminders (10 on Free, unlimited on Pro) and tabs that keep the inbox tidy.
- On team plans: a team inbox, multiple numbers, AI answers and summaries from conversations, and read-only MCP connections for AI assistants.
- Broadcasts to multiple chats, with templates.

**Limits**
- No voice-note transcription or translation advertised.
- The Free plan is capped: 3 custom tabs, 3 templates, 10 reminders, 5 notes, 5 scheduled events and 5 shared conversations a month.
- Recent Chrome Web Store reviews include a 1-star complaint (May 18, 2026) that cancelling required emailing support and using live chat.

**Price, as of Nov 3, 2026:** Extension Free US$0; Extension Pro US$9.99/month; CoobyTeams US$17.99/month for up to 3 users with HubSpot or Salesforce; Starter US$15.99/user/month yearly (US$20.99 monthly); Growth US$25.49/user/month yearly (US$31.99 monthly); Custom on request.

**Store:** 20,000 users, 4.5★ from 137 ratings.

Our head-to-head: [Kaption vs Cooby](/alternatives/cooby/).

## Is Eazybe worth it for logging WhatsApp chats in a CRM?

Eazybe is worth it if your main job is getting WhatsApp conversations into a CRM automatically. It is built for B2B sales teams and advertises two-way sync with HubSpot, Zoho, Bitrix24 and Google Sheets, plus AI summaries and a WhatsApp MCP for Claude and Codex.

**What it does well**
- Two-way CRM sync, labels and a smart inbox.
- Scheduled messages, one-time or recurring, and follow-up reminders that feed a task list and Google Calendar.
- Chat backup to your CRM or cloud storage. The listing says chat data lives in your own systems, not on Eazybe's servers.
- AI agents on its AI plans.

**Limits**
- No permanent free plan on the pricing page; the trial is 4 days, no card.
- Several 1-star Chrome Web Store reviews from 2026 describe billing trouble, for example being charged for months after cancelling (Apr 29, 2026) and no cancel button.

**Price, as of Nov 3, 2026:** Starter US$19/user/month; Scaler US$39/number/month (3 users, extra users US$13); Basic AI US$59/number/month (5 users, extra US$20, plus per-reply AI fees); Custom AI on request. Annual billing is 20% off.

**Store:** 30,000 users, 4.2★ from 1.1K ratings.

Our head-to-head: [Kaption vs Eazybe](/alternatives/eazybe/).

## Which WhatsApp CRM is best for a team sharing numbers?

TimelinesAI is the strongest pick when several people share WhatsApp numbers and every chat has to end up in the CRM. It is mainly a web app (app.timelines.ai) with a Chrome side panel, so its 3,000 store users understate how many people use it.

**What it does well**
- A shared team inbox for many WhatsApp numbers.
- CRM integrations on every plan: Pipedrive, HubSpot, Zoho, monday.com, Salesforce, Close and more.
- ChatGPT summaries, AI auto-replies, ChatGPT agents and a Workflow Builder.
- A WhatsApp MCP server for Claude, ChatGPT, Cursor and Codex at no extra charge (it uses your messaging and API quota).
- Mass-messaging campaigns, metered by credits.

**Limits**
- No free plan; a 10-day trial with no card, up to 10 seats.
- Each connected WhatsApp number takes a seat, so costs grow with numbers as well as people.
- Conversations live server-side in the TimelinesAI workspace, a third-party copy of your chats.

**Price, as of Nov 3, 2026:** Starter US$35/seat/month, or US$28 billed yearly; Pro US$49/seat/month, or US$39 billed yearly; Enterprise on quote.

**Store:** 3,000 users, 4.2★ from 14 ratings (extension only).

Our head-to-head: [Kaption vs TimelinesAI](/alternatives/timelinesai/).

## Is there a free WhatsApp CRM extension?

Yes: WAPlus CRM has the most generous free plan of the five, and it is lifetime rather than a trial. With 70,000 users and 4.9★ from 4.1K ratings, it is also the best-rated tool in this comparison.

**What it does well**
- A free-forever CRM layer: auto-categorized tabs (unread, waiting for reply, @mentions), custom labels, contact cards and a sales pipeline.
- HubSpot, Salesforce, Zoho and webhook integrations, even on Free.
- AI translation with character caps per plan, and an AI chatbot for auto-replies on paid plans.
- Broadcasts on all plans and a separate free bulk sender.

**Limits**
- Free is tight in places: 2 custom tabs, 3 schedulers, 3 reminders, 1 quick reply and 3,000 translation characters a month.
- No voice-note transcription, call recording or MCP advertised.
- Team features sync conversations to a WAPlus team space on its servers.
- The pricing page doesn't say whether its per-user prices are monthly or annualized rates.

**Price, as of Nov 3, 2026:** Free US$0 (lifetime); Starter US$12.99/user; Pro US$17.99/user; Growth US$20.99/user (each shown as a discount from a struck-through price); Custom on request.

**Store:** 70,000 users, 4.9★ from 4.1K ratings.

Our head-to-head: [Kaption vs WAPlus CRM](/alternatives/waplus-crm/).

## Which WhatsApp CRM is built for sellers in Brazil?

Pragmaz is the one built for Brazilian and Portuguese-speaking sellers, priced in reais, and it is the most installed tool here at 100,000 users. It starts with free tools and upsells to a sales suite.

**What it does well**
- Free tools with no sign-up: several WhatsApp accounts in one browser tab, and export of a chat, group or channel to searchable, password-protectable HTML with media.
- A Kanban CRM with automatic reminders on the customer board (Intermediate plan).
- Scheduled messages and calls (Intermediate and up), and 24-hour cloud sending with the computer off (Advanced).
- Scheduled WhatsApp statuses through the Status PRO add-on.
- TranscriptAI for transcription, translation and voice, and automatic messages to contacts, groups and labels.

**Limits**
- The Kanban CRM sits on the Intermediate plan, not the entry one.
- The pricing page both says plans include TranscriptAI and Status PRO and lists them as add-ons, so read it before you buy.
- No MCP server for Claude or ChatGPT advertised.

**Price, as of Nov 3, 2026:** Basic R$151.24/month, or R$120.99/month on annual (1 number); Intermediate R$226.24/month, or R$180.99 on annual (2 numbers, Kanban CRM); Advanced R$443.74/month, or R$354.99 on annual (5 numbers, Meta official API, chatbot, webhooks); TranscriptAI add-on R$7.99/month.

**Store:** 100,000 users, 4.2★ from 3.6K ratings.

Our head-to-head: [Kaption vs Pragmaz](/alternatives/pragmaz/).

## Where does Kaption fit if it isn't a CRM?

Kaption fits people who work alone on WhatsApp and want AI on their own chats, not a pipeline. Kaption is our product; we list where others are better. It has no CRM sync, no deals pipeline, no custom inbox tabs and no team inbox (its Kanban board only arranges chats by WhatsApp label), so for most readers of a CRM comparison it is the wrong tool.

**What it does well**
- Voice-note transcription in WhatsApp Web: unlimited for your first 60 days, then on your device with limits on Free, or unlimited on Lifetime local AI, Pro and Business.
- AI summaries of voice notes, chats and groups, and AI reply suggestions. See [summarize WhatsApp chats](/summarize-whatsapp-chats/).
- Reminders on messages, with daily, weekly or monthly repeats (Pro: five scheduled messages and reminders a week; Business: unlimited).
- Live translation in 36 languages ([translate WhatsApp messages](/translate-whatsapp-messages/)).
- An MCP server for Claude, ChatGPT and Cursor: unlimited in your first 60 days, then in credits a month (Pro 250, Business 500 with its 2 numbers). Through it, an assistant can manage WhatsApp Business's own labels and notes and WhatsApp's chat lists. See [WhatsApp MCP](/mcp/).
- Privacy mode (blur) and a password screen lock, free.
- [WhatsApp call recording](/call-recording/) on Business: WhatsApp calls only, audio only.
- A [desktop app](/desktop/) for Mac and Windows as well as the Chrome and Edge extension.

**Limits**
- Not a CRM: no HubSpot, Salesforce, Zoho or Pipedrive sync, no pipeline, no shared inbox.
- No bulk messaging or campaigns, on purpose; its terms forbid unsolicited messaging.
- [Scheduled messages](/schedule-whatsapp-messages/) go to one-to-one chats only, need the computer on, aren't on Free after the first 60 days, and Pro is capped at 5 a week.
- Chrome and Edge only; no Firefox or Safari extension.

**Price:** Free after your first 60 days of Business; Lifetime local AI US$99 once; Pro US$11.99/month (US$9.99 billed every 3 months, US$7.99 billed yearly); Business US$19.99/month with 2 WhatsApp numbers (US$11.99 billed yearly). Details on [pricing](/pricing/).

**Store:** about 50,000 users, 4.8★ from 5.5K ratings.

## When Kaption isn't the right pick

Kaption is the wrong choice if any of these describe you:

- **Your CRM has to receive every WhatsApp chat.** Pick Eazybe, TimelinesAI or Cooby's team plans.
- **Several people answer from the same numbers.** TimelinesAI or Cooby's team plans are built for that.
- **You manage deals on a board.** WAPlus CRM (free pipeline) or Pragmaz (Kanban on Intermediate).
- **You send broadcasts or campaigns.** Kaption doesn't. WAPlus, Cooby, TimelinesAI and Pragmaz do.
- **You want to send while your computer is off.** Pragmaz.

## How do you choose a WhatsApp CRM extension?

Start from the CRM you already use, then check price per person and how cancelling works. HubSpot points to Cooby; HubSpot, Zoho or Bitrix24 to Eazybe; Pipedrive, monday.com or Close to TimelinesAI. Count seats and numbers too: TimelinesAI counts each connected number as a seat, and Eazybe's Scaler and AI plans are priced per number. Finally, read the recent 1-star reviews; for Cooby and Eazybe they are mostly about cancelling and billing.

## Frequently asked questions

### What is the best WhatsApp CRM extension in 2026?

It depends on your CRM and team size. Cooby fits HubSpot teams, TimelinesAI fits teams sharing numbers, Eazybe fits B2B teams that want two-way sync, WAPlus CRM has the best free plan, and Pragmaz fits Brazilian sellers who want Kanban and scheduled statuses.

### Is there a free WhatsApp CRM extension?

Yes. WAPlus CRM has a lifetime Free plan with tabs, labels, a pipeline and CRM integrations, with caps on schedulers, reminders and translation. Cooby has a capped free extension plan. Eazybe and TimelinesAI offer only trials (4 and 10 days) as of Nov 3, 2026.

### Which WhatsApp extension syncs with HubSpot?

Cooby (team plans), Eazybe, TimelinesAI and WAPlus CRM all list HubSpot. Kaption does not sync with any CRM.

### Is Kaption a WhatsApp CRM?

No. Kaption has no CRM sync, pipeline or team inbox. It adds voice-note transcripts, AI summaries, reminders, translation and an MCP server to WhatsApp Web and its desktop app. An AI assistant connected through its MCP can manage WhatsApp Business's own labels and notes, but that is not a CRM.

### Which WhatsApp CRM extensions transcribe voice notes?

Of the five CRM tools, only Pragmaz advertises transcription, through TranscriptAI. Cooby and WAPlus CRM don't advertise it, and we couldn't confirm it for Eazybe or TimelinesAI. Kaption transcribes voice notes on every plan (with limits on Free after the first 60 days); see [WhatsApp voice notes to text](/whatsapp-voice-notes-to-text/).

### Can a WhatsApp CRM extension get my number banned?

Using a CRM layer to read and organize chats is low risk. Broadcasts and campaigns are what draw WhatsApp's attention, and consequences range from restricted features to a ban. Most CRM extensions here include broadcasts; use them only with people who expect your messages.

### Which WhatsApp CRM extensions connect to Claude or ChatGPT?

TimelinesAI (Claude, ChatGPT, Cursor, Codex) and Eazybe (Claude and Codex) advertise MCP servers, and Cooby offers read-only MCP on its team plans. Kaption's MCP works with [Claude](/mcp/claude/), [ChatGPT](/mcp/chatgpt/) and [Cursor](/mcp/cursor/), unlimited in your first 60 days and then in credits a month on a plan. WAPlus CRM and Pragmaz don't advertise one.
