> 5 Cooby alternatives for WhatsApp Web compared by price, free plan, CRM sync and store ratings: Kaption, Eazybe, TimelinesAI, WAPlus CRM and Pragmaz.

Canonical: https://kaptionai.com/blog/en/cooby-alternatives-for-whatsapp-2026/

*Updated November 7, 2026. Competitors' prices and store figures checked on November 3, 2026; Kaption's prices are its 2027 plans.*

Kaption is our product; we list where others are better.

Cooby is a WhatsApp Web extension that adds an inbox layer (tabs, snooze, reminders) and, on its team plans, syncs chats to HubSpot or Salesforce. People look for an alternative for different reasons: some only use the reminders and don't want a CRM tool, some want a richer CRM, some want AI on voice notes. This post compares five options, with what each does well and where it falls short.

## TL;DR: which Cooby alternative should you pick?

- **Solo user who wants AI on WhatsApp (transcripts, summaries, translation):** Kaption. Free to start, Pro at US$11.99 a month (US$7.99 a month billed yearly), but no CRM sync.
- **Sales team that needs WhatsApp chats in a CRM:** Eazybe (HubSpot, Zoho, Bitrix24, Google Sheets) or TimelinesAI (Pipedrive, HubSpot, Zoho, monday.com, Salesforce and more).
- **Shared team inbox for several numbers:** TimelinesAI.
- **Free CRM layer inside WhatsApp Web:** WAPlus CRM, which has a lifetime free plan with tabs, labels and HubSpot, Salesforce and Zoho integrations.
- **Brazilian sellers who want Kanban and scheduled statuses:** Pragmaz.
- **HubSpot sync with an inbox-zero layer:** honestly, Cooby itself may still be the right tool.

## How do the 5 Cooby alternatives compare?

The table summarizes each tool as advertised on its own site and Chrome Web Store listing on Nov 3, 2026. Prices are the entry paid plan, as of Nov 3, 2026.

## What does Cooby do, and why do people leave it?

Cooby is a WhatsApp Web extension that turns the chat list into an inbox and, on team plans, logs WhatsApp to HubSpot or Salesforce. Its Chrome Web Store listing and pricing page describe:

- **Extension Free ($0):** all system tabs, 3 custom tabs, 3 templates, 10 reminders, 5 notes, 5 scheduled events and 5 shared conversations a month.
- **Extension Pro ($9.99/month):** unlimited tabs, templates, reminders, notes, scheduled events and shared conversations.
- **CoobyTeams ($17.99/month, up to 3 users):** Extension Pro plus HubSpot or Salesforce integration.
- **Starter ($15.99 per user a month billed yearly, $20.99 monthly)** and **Growth ($25.49 yearly, $31.99 monthly):** team inbox, multiple numbers, synced messages, read-only MCP connections.

Cooby also offers broadcasts to multiple chats. It doesn't advertise voice-note transcription or translation.

The reasons people give for leaving, from Chrome Web Store reviews read on Nov 3, 2026: a 1★ review from May 18, 2026 says it wasn't possible to cancel in the app and they had to email support; a 1★ review from Sep 23, 2025 reports "constantly bugs with inbox, snoozing, and closing chats"; a 3★ review from Jun 2, 2023 complains about a sharp price rise. These are individual reviews, not a measure of the product as a whole.

## Is Kaption a good Cooby alternative?

Kaption is a good Cooby alternative if you use Cooby alone, mainly for reminders and a tidy inbox, and you'd rather have AI than a CRM. It is not a good alternative if your team needs HubSpot or Salesforce sync: Kaption has none.

**What it does well.** Kaption is an extension for WhatsApp Web in Chrome and Edge, plus a desktop app for Mac and Windows. It transcribes voice notes, summarizes long chats and voice notes, translates conversations live in 36 languages, sets reminders with daily, weekly or monthly repeats, and has a privacy mode that blurs chats plus a password screen lock. Every account starts with 60 days of Business, unlimited; after that Free continues with limits on voice notes. On Business it records WhatsApp calls (audio only) with a transcript of each side. Its [MCP server](/mcp/) lets Claude, ChatGPT or Cursor search and summarize your chats: unlimited in your first 60 days, then in credits a month (Pro 250, Business 500 with its 2 numbers). It can also export chats.

**Limits.** No CRM, no Kanban, no custom inbox tabs and no template library. Through MCP, an assistant can manage WhatsApp Business's own labels and notes, but that is not CRM sync. Scheduled messages and reminders go only to one-to-one chats, need the computer on, aren't on Free after the first 60 days and are capped at 5 a week on Pro (unlimited on Business). Kaption doesn't send broadcasts or campaigns, on purpose: its terms forbid unsolicited messaging. No Firefox or Safari extension.

**Price.** Free after your first 60 days; Lifetime local AI US$99 once; Pro US$11.99 a month (US$9.99 billed every 3 months, US$7.99 billed yearly); Business US$19.99 a month with 2 WhatsApp numbers. See [pricing](/pricing/). You cancel yourself; billing goes through Stripe.

**Store figures.** About 50,000 users, 4.8★ from 5.5K ratings on the Chrome Web Store.

We wrote about Kaption's lighter approach before in [why Kaption is a minimalist alternative to Cooby](/blog/en/why-kaptionai-is-the-best-minimalist-alternative-to-cooby/); this post is the updated, five-tool comparison.

## Is Eazybe better than Cooby for CRM sync?

Eazybe is the closer match if CRM sync is why you use Cooby: it advertises two-way sync with HubSpot, Zoho, Bitrix24 and Google Sheets from its Starter plan.

**What it does well.** Labels, a smart inbox, one-time or recurring scheduled messages, follow-up reminders into a task list with Google Calendar, chat backup to your CRM or cloud storage, AI summaries, and a WhatsApp MCP for Claude and Codex on Starter. Its listing says chat data lives in your own CRM or cloud storage, not on Eazybe's servers.

**Limits.** No permanent free plan: a 4-day trial on Starter and Scaler, no card needed. Recent Chrome Web Store reviews (Feb to Apr 2026, 1★) complain about charges continuing after cancelling and little support after payment.

**Price, as of Nov 3, 2026.** Starter US$19 per user a month; Scaler US$39 per number a month (3 users); Basic AI US$59 per number a month (5 users, AI agents); Custom AI on request. 20% off on annual billing.

**Store figures.** 30,000 users, 4.2★ from 1.1K ratings.

## Is TimelinesAI a Cooby alternative for teams?

TimelinesAI is the strongest pick for teams that share WhatsApp numbers: it is a shared team inbox (a web app with a Chrome side panel) that syncs every chat to your CRM.

**What it does well.** CRM integrations on every plan, including Pipedrive, HubSpot, Zoho, monday.com, Salesforce and Close. ChatGPT summaries, AI auto-replies and agents, message reminders, a workflow builder and a WhatsApp MCP server for Claude, ChatGPT, Cursor and Codex at no extra charge. It also runs mass-messaging campaigns, metered by credits.

**Limits.** No free plan; a 10-day trial with no card, up to 10 seats. Each connected WhatsApp number takes a seat, so it gets expensive for one person. Conversations live in the TimelinesAI workspace, server-side. Chat history export was marked "coming soon" on its pricing page.

**Price, as of Nov 3, 2026.** Starter US$35 per seat a month, or US$28 billed yearly; Pro US$49, or US$39 yearly; Enterprise on quote.

**Store figures.** 3,000 users, 4.2★ from 14 ratings. The extension is a companion to the web app, so the store count understates its user base.

## Is WAPlus CRM the best free Cooby alternative?

WAPlus CRM has the richest free plan of the group if you want a CRM layer: its lifetime free tier includes 2 custom tabs, labels, broadcasts, auto-reply and HubSpot, Salesforce, Zoho and webhook integrations.

**What it does well.** Auto-categorized tabs (unread, waiting for reply, @mentions), custom labels, contact cards and a sales pipeline. Translation with monthly character caps, scheduled messages and reminders (3 each on Free, unlimited on paid), and an AI chatbot for auto-replies on Pro and Growth.

**Limits.** No voice-note transcription, MCP or call recording advertised. Team features sync conversations to a WAPlus team space on its servers. The pricing page doesn't say whether its prices are monthly or annualized.

**Price, as of Nov 3, 2026.** Free; Starter US$12.99 per user; Pro US$17.99 per user; Growth US$20.99 per user; Custom on request.

**Store figures.** 70,000 users, 4.9★ from 4.1K ratings, the highest rating in this list.

## Is Pragmaz a good Cooby alternative in Brazil?

Pragmaz is the best fit for Portuguese-speaking sellers: it is a sales suite for WhatsApp Web with a Kanban CRM, campaigns and scheduled statuses, priced in Brazilian reais.

**What it does well.** Free tools with no sign-up, including several accounts in one tab and chat, group or channel export to searchable HTML with media. Paid plans add automatic messages to contacts, groups and labels, a Kanban CRM and scheduled messages (Intermediate), and 24-hour cloud sending with the computer off, the official Meta API, a chatbot and webhooks (Advanced). Status PRO adds scheduled statuses, and TranscriptAI adds transcription and translation.

**Limits.** Prices are high next to Cooby for one person. It doesn't advertise MCP or call recording. Its Chrome Web Store privacy panel says it handles personally identifiable information.

**Price, as of Nov 3, 2026.** Basic R$151.24 a month, or R$120.99 a month billed yearly (1 number); Intermediate R$226.24, or R$180.99 yearly (2 numbers); Advanced R$443.74, or R$354.99 yearly (5 numbers). TranscriptAI add-on R$7.99 a month.

**Store figures.** 100,000 users, 4.2★ from 3.6K ratings, the most installed tool here.

## When isn't Kaption the right pick?

Kaption isn't the right pick when your work depends on a CRM or a team. Specifically:

- **You need HubSpot or Salesforce sync.** Kaption has none. Stay on Cooby, or look at Eazybe or TimelinesAI.
- **Several people answer one number from a shared inbox.** TimelinesAI is built for that.
- **You rely on custom inbox tabs, templates or a CRM pipeline.** WAPlus CRM, Cooby and Pragmaz have them; Kaption doesn't.
- **You send to lists.** Kaption doesn't do broadcasts or campaigns, and its terms forbid unsolicited messaging. Cooby, WAPlus CRM, TimelinesAI and Pragmaz offer it.
- **You need scheduled messages to groups, or sending with the computer off.** Kaption schedules only one-to-one, with the computer on. Pragmaz Advanced sends from the cloud.
- **You use Firefox or Safari.** Kaption runs in Chrome and Edge, and as a desktop app.

## Frequently asked questions

### What is the best free alternative to Cooby?

It depends on what you used Cooby for. For a CRM layer, WAPlus CRM has a lifetime free plan with tabs, labels and CRM integrations. For reminders plus AI on voice notes, Kaption includes everything in every account's first 60 days; after that, reminders are on Pro and Business, and Free keeps voice notes with limits and privacy mode. Eazybe and TimelinesAI have no free plan.

### Which Cooby alternative syncs with HubSpot?

Eazybe, TimelinesAI and WAPlus CRM all advertise HubSpot integration, as of Nov 3, 2026. Kaption doesn't sync with HubSpot or any CRM.

### Is Kaption cheaper than Cooby?

It depends on the billing period. Cooby Extension Pro is US$9.99 a month. Kaption Pro costs more month to month (US$11.99), the same billed every 3 months (US$9.99 a month) and less billed yearly (US$7.99 a month). Cooby's team plans start at US$15.99 per user a month billed yearly. Cooby prices as of Nov 3, 2026.

### Does Kaption have custom inbox tabs like Cooby?

No. Kaption has no custom tabs or template library. Through its MCP server, an AI assistant can manage WhatsApp's own chat lists and WhatsApp Business labels and notes.

### Can I use Cooby and Kaption together?

You can install both, but two extensions changing the same WhatsApp Web page can get in each other's way. Try Kaption with Cooby switched off in chrome://extensions first. A team can keep Cooby for HubSpot logging and use Kaption for transcripts.

### Do any of these alternatives transcribe WhatsApp voice notes?

Kaption does: unlimited in your first 60 days, then on your device with limits on Free, or unlimited on Lifetime local AI, Pro and Business; see [voice notes to text](/whatsapp-voice-notes-to-text/). Pragmaz offers transcription through TranscriptAI. Cooby and WAPlus CRM don't advertise it.

### Which alternatives connect WhatsApp to Claude or ChatGPT?

Kaption, Eazybe and TimelinesAI advertise MCP servers; Cooby offers read-only MCP on its team plans. Kaption's MCP works with [Claude](/mcp/claude/), [ChatGPT](/mcp/chatgpt/) and Cursor: unlimited in your first 60 days, then in credits a month on a plan (Lifetime local AI 50, Pro 250, Business 500 with its 2 numbers).

### Can Kaption send broadcasts like Cooby?

No, on purpose. Kaption is for one-to-one messages people expect, and its terms forbid mass and unsolicited messaging, which can also get a number banned by WhatsApp. If sending to lists is your job, use a tool built for it.
